4011 Campus Name Policy

It shall be the policy of the Bay de Noc Community College Board of Trustees, that Bay de Noc Community College (“Bay or Bay College”) recognizes that individuals may use and/or be known by a name other than their legal name because of their gender identity, cultural background, or other aspects of their social or personal identity. Bay College will regard such other name as a “Campus Name” when requested by the individual as provided by this Policy.

Bay students may choose to use and be known by a Campus Name. All College offices and personnel are expected to respect an individual’s request to be known by their Campus Name, and to use that name when interacting with, addressing, or referring to the individual who has chosen to use a Campus Name in accordance with this Policy.

Bay College will make good faith efforts to utilize an individual’s chosen Campus Name throughout the College community, where feasible and appropriate, and to update reports, documents, processes, and systems approved for display and use of campus names. Bay College cannot guarantee that the chosen Campus Name will appear in all locations or in all circumstances.

  1. Use of Campus Name

Bay College will use the chosen Campus Name internally, on documents or in systems that allow the use of campus name and that do not have a legal mandate to use legal name. This will include but is not limited to:

  • Campus email
  • MyBay
  • Online Advising reports
  • Blackboard
  • Class roster
  • Grade roster
  • Diplomas
  • Student IDs
  1. Use of Legal Name

Bay College will not use the chosen Campus Name on documents or in systems that require the use of a legal name for legal or business-related reasons. The individual’s legal name will continue to be used for these records, which include but are not limited to the following:

  • Admission records
  • Transcripts
  • Enrollment verifications
  • Employment and personnel records
  • Paychecks and tax documents
  • Financial aid records
  • Medical records
  • Disciplinary records
  • Law enforcement records
  • Study abroad documents and travel records
  • Mandated reporting
  • Correspondence sent via US Postal Service

Procedure:


4011.1 Requesting to Use a Campus Name


  1. The student must complete the online form (https://mybay.baycollege.edu/ICS/Current_Students/Forms_Docs_Policies/Default_Page.jnz?portlet=J1_FormFlow_-_Forms) to request to use a Campus Name different than their legal name.
  2. The Registrar serves as the main contact for questions or issues related to the Campus Name request.
  3. The Campus Name will become effective within 10 business days of the date the request is submitted.
